Secure Email

Why do we utilize email encryption?

First and foremost we want to protect personal health and financial information from theft or misuse in this digital age and also to comply with Federal and state laws that require it.

The Health Insurance Portability and Accountability Act of 1996 (HIPAA) required that all communications containing Protected Health Information (PHI) be secured between employers and their health plans and providers.

The Health Information Technology for Clinical and Economic Health Act (HITECH) which became effective on 2/17/2010 expanded the HIPAA requirements to brokers for ensuring that Protected Health Information (PHI) be kept safe and secure under an expanded set of HIPAA Privacy Rule and Security Rules.

In addition there are a patchwork of state and federal privacy laws that restrict unsecure transactions. In recent years, we have seen the enactment of the Gramm-Leach Bliley Act, "Red Flag" as well as state privacy laws which require that any communications containing personally identifiable financial and/or health information be encrypted.

Support Questions

I am unable to create a password. Why is the password I created being rejected?
Passwords must contain at least six characters. There are no other requirements.

Must I enter my log in and password every time I open an encrypted e-mail?
The RadarMail log in site has a "Remember Me" option. After you have created your account and logged back in for the first time, you should be able to check the "Remember Me" box. Your computer should then remember your log in and password each time you log in from the same computer.

Is there any way to make the decryption process easier?
Yes. You may purchase software from Zix that would automatically decrypt all secure
e-mail for you. This would make the entire secure-e-mail transaction completely transparent. You would not have to log in to view the e-mail or attachments.

Following is the URL for the software download: http://www.zixcorp.com/solutions/ee_zixmail.php

Email Encryption 101
Secure e-messaging is not just a government mandate to employers, insurers and brokers, it's a practical way to do business to protect personal health and financial information from identity theft.

So that personal information is not used illegally, we have the RadarMail 360 secure e-mail solution powered by ZixCorp to provide an encrypted service that prevents any message you send from being opened by anyone outside our office.

This page will help you understand our secure e-messaging initiatives.

Why is there a need to encrypt email?
Despite appearances, conventional email is not a private conversation and can be easily intercepted and read by unwanted parties. By law, businesses are required to protect certain types of personal information.

To both meet HIPAA regulations and comply with improved best-practice standards, all email communication you receive from us containing PHI takes advantage of ZixCorp's encryption services. ZixCorp's easy-to-use e-messaging protection makes it effortless for you to receive and read any encrypted communications - whether you are a ZixCorp customer or not.

The privacy of business communication is important to us and we want to ensure your information stays private.

What kinds of information will be encrypted?
RadarMail 360 encrypts email that contains:

• Personal information, such as social security numbers
• Financial information, such as account and credit card numbers
• Personal Health Information

If I agree to it, can I choose not to receive encrypted e-mail?
No. In order to protect your employer from fines and penalties, there is no way around the encryption process. The new laws make it clear that anything short of e-mail encryption will not meet the requirement for "satisfactory protection". Thus, to be fully compliant with security measures and to actually protect your confidential information sent via e-mail we have e-mail encryption through RadarMail 360 secured by ZixCorp.

How will I receive encrypted messages?
When receiving an email containing private information, you will then be asked to click on a link, which will connect you to the secure message center on our website. To access the secure portal, you will register a private password to retrieve and reply to secure messages.

What if I'm already a user of Zix Email Encryption?
If already enlisted as part of the ZixDirectory, members will automatically receive secure emails in their inbox and be able to send secure emails transparently as linking to the secure portal occurs effortlessly.

Will it be difficult to receive messages?
You will be able to open encrypted emails in seconds with the confidence that your personal information remains private. Together with our partners at RadarMail 360 we have developed an easy-to-use approach that protects our entire community of interest - our employees, our customers, and our business partners.
